Privacy Policy

BizzBuzz ("BizzBuzz", "we", "us", "our") provides an AI voice-calling and receptionist platform, operated by BizzBuzz Creations, reachable at support@praxistence.com. This policy explains what data we collect through the BizzBuzz dashboard and voice platform (clio.praxistence.com), why we collect it, and the choices you have.
This policy applies to business owners and their team members who use BizzBuzz to run calls ("you", "customers"), and, where relevant, to the callers and leads your account interacts with on your behalf.
1. Information we collect
Account & business information
When you sign up, we collect your name, email address, and any business details you enter (business name, industry, phone number). If you invite teammates, we collect their name, email, and the role you assign them.
Call data
Every call placed or received through your account generates:
- The phone numbers involved (caller and the BizzBuzz number used)
- An audio recording of the call, where recording is enabled for that call
- A transcript and an AI-generated summary of the conversation
- Metadata about the call: duration, outcome, sentiment, lead score, and which conversation states were visited
Lead & contact information
If you use campaigns or the leads feature, we store the contact information you upload or that your AI receptionist captures during a call — name, phone number, email, and any notes or qualification data tied to that lead.
Google Calendar (if you connect it)
If you connect a Google Calendar account, we store your connected Google account email, the calendar you selected, your timezone, and the meetings your AI receptionist books — including the meeting time, summary, and the attendee's email address. We access your calendar only through Google's OAuth authorization, and only to check availability and create or manage events on your behalf.
Gmail or email account (if you connect it)
If you connect a Gmail account (or configure your own SMTP mail server) so your AI receptionist can send emails, we store the connected account's email address and a log of the emails sent through it — recipient, subject, and body. If you connect your own SMTP server instead of Gmail, your mail server credentials are encrypted before storage and are never displayed again in full once saved.
Payment information
Subscription and credit top-up payments are processed by Razorpay. BizzBuzz does not receive or store your card, UPI, or bank account details — Razorpay handles that directly and shares with us only the payment status and amount, which we record against your account's wallet.
Technical data
Like most web applications, our servers log standard request data (IP address, browser type, pages visited) for security and troubleshooting. We use only the cookies required to keep you signed in and to protect forms from cross-site attacks — we do not use third-party advertising or analytics cookies.
2. How we use this information
- To operate your AI receptionist: routing calls, understanding speech, generating responses, and taking the actions you've configured (booking a meeting, sending a follow-up email, scoring a lead)
- To bill your account accurately for call, messaging, and platform usage
- To show you your own call history, transcripts, recordings, and analytics inside the dashboard
- To send you account, billing, and — if you've enabled it — number-renewal or low-balance notifications
- To detect abuse, secure the platform, and fix bugs
We do not sell your data, or your customers' data, to anyone.
3. Google user data & the Limited Use policy
BizzBuzz's use and transfer of information received from Google APIs (Calendar and Gmail) to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We only request the Calendar and Gmail scopes needed to check availability, create calendar events, and send emails on your explicit instruction — nothing else.
- We never use Google user data for serving advertisements, and never sell it.
- We never allow humans to read Google user data except: with your explicit consent, for security purposes (e.g. investigating abuse), to comply with the law, or in an aggregated/anonymized form for internal operations.
- You can revoke BizzBuzz's access to your Google account at any time from Google Account → Security → Third-party access, or by disconnecting the integration from your BizzBuzz dashboard settings — either immediately stops all further access and deletes the stored token.
4. Who we share data with
To run a call, BizzBuzz passes parts of the conversation to the external providers your account is configured to use — for example, a speech-to-text provider to transcribe audio, a language-model provider to generate a reply, a text-to-speech provider to voice it, and a telephony provider to carry the call. These providers process the data only to perform that function and under their own data-processing terms.
We also share data with:
- Razorpay, to process payments
- Google, when you connect Calendar or Gmail
- Your own configured SMTP provider, if you use one instead of Gmail
- Law enforcement or regulators, only when legally required
5. Data retention
We keep call recordings, transcripts, and lead data for as long as your account is active, so you retain your own call history and analytics. If you close your account, we delete or anonymize this data within a reasonable period, except where we're required to keep records for legal, tax, or dispute-resolution purposes. Provider credentials and connected-account tokens are deleted immediately when you disconnect that integration.
6. Security
Provider and integration credentials (API keys, OAuth tokens, SMTP passwords) are encrypted at rest, not stored as plain text. Phone numbers and email addresses are redacted from our application logs. Access to customer data inside BizzBuzz is limited by the role your account assigns each teammate.
7. Your choices
- You can access, export, or delete your call history, leads, and recordings from your dashboard.
- You can disconnect Google Calendar, Gmail, or any SMTP connection at any time — this deletes the stored credentials immediately.
- You can request deletion of your account and associated data by emailing support@praxistence.com.
8. Children's privacy
BizzBuzz is a business tool and is not directed at children. We do not knowingly collect personal information from anyone under 18.
9. Changes to this policy
If we make material changes to this policy, we'll update the date at the top of this page and, where appropriate, notify account owners by email.
